Journals Notes

· When Journal Options are set to Use Reviewed Status, describe the effect on the journal creation/post process.

When Use Reviewed Status is enabled you must set the journal's status to Reviewed before it can be posted. Journal status can be changed to reviewed by pressing the Review button on a journal or using the Review Journals dialog box.

· Given an exhibit with the "Period is not open" message, identify which options will be active behind the NEW button.

The options which will be active are:

· Describe the process necessary for a remote site's journal entries to become part of the headquarters application.

The journals would be extracted from the remote site's application and loaded into the headquarters application.

· Describe where the journal review status is enabled.

The journal review status is enabled in the Application window on the options tab.

· Describe the capabilities and the effect of posting, editing, un-posting, templates, regular, and auto-reversing journals have on the database (multi-user).

Journal types Description
Regular Post to one period.
Auto-reversing Post to one period and automatically reverse in the next period.
Parent Post to one period but only adjust the parent entity.
Template types
Standard Standard templates are normally used to make similar adjustments to many periods. You use the standard template to create a regular journal which you can then post or edit.
Recurring Recurring templates are normally used when you need to make identical adjustments to many periods. This is often necessary with categories which have category-to-data data views because if a adjustment is made in period 1 it need to be made to all subsequent periods for the to-date values to be correct.  Hyperion Enterprise automatically creates regular journals from recurring templates when a period is opened. You can post these regular journals immediately or you can edit them before they are  posted.
Journal actions
Posting Posts the adjustments in a journal to the database. Until you post a journal, the adjustments exist only in the journal and do not affect the database.
Editing Un-posts a single journal if you need to correct it. You can edit journals as many times as you like.
Un-posting Un-posting is similar to Editing except that many journals can be un-posted at the same time.

You cannot post a journal to an entity if a schedule or the database is for the same entity is open in another window or by another user.

· Identify valid Journal status.

Status Meaning
Unposted Journal has not been has reviewed or posted.
Reviewed Journal has been reviewed but has not been posted.
Posted Journal has been posted.
Reversed Journal has been reversed.
Auto-reversed Journal reverses adjustments made in auto-reversing journal created and posted in the previous period.
Locked A user posted the auto-reversing journal and then opened the next period. It is a valid status for auto-reversing journals only. You cannot modify a locked journal.
Posted and Edited Journal has been posted, edited and posted them again. This status only appears in history reports to provide a complete audit trail of the journal. In all other instances, a journal that has been posted and edited has a status of Unposted.
Deleted A user deleted the journal from the application. You can view information on deleted journals only when you run a journals or history report.

· Describe journal reporting capabilities and options.

Report Description
Journals Report Provides information about the status of journals at the time you run the report.
History Report Provides a complete audit trail of selected journals. A history report would show that a journal has been posted and reversed and the amounts of its adjustments.
Trail Balance Report Provide information about any account to which journal adjustments have been made.
